Your first action is to set up your Outlook account. Setup is automatic if you used an earlier version of Outlook on the same computer. The quick access bar is an important part of your Outlook experience.
And it's an easy way for you to move among the top Outlook features—Mail, Calendar, People, and Tasks. The bar is in addition to the standard tabs and ribbons that provide you with an assortment of tools and options to help you use and manage Outlook.
Typically located at the bottom of the Outlook window, the quick access bar shows—depending on selected settings—either button names left image or icons right image associated with feature names. You can control which buttons or icons appear on the quick access bar and even in what order they appear. To change the number of buttons or icons that appear on the bar, increase or decrease the default setting of 4 for Maximum number of visible items.
To rearrange how buttons or icons are listed, select an item in the Display in this order box, and then choose Move Up or Move Down. Tip: If you don't like the changes you made, or just want to start over, choose Reset.
Email connects you to people inside and outside your organization. You can add an electronic signature and attachments to your email messages. For more information, see Create an email message. Create personalized signatures that appear at the bottom of your messages. Signatures can include text, images, your Electronic Business Card, a logo, or even an image of your handwritten signature. In the E-mail account list, choose an email account to associate with the signature.
In the New messages list, choose the signature that you want to be added automatically to all new email messages. If you don't want to auto sign your email messages, you can ignore this option as none is the default value. Otherwise, accept the default option of none. Under Edit signature , type the signature , and then choose OK.
In a new message, choose Signature , and then choose the signature that you want. For more information, see Create and add an email message signature. On the ribbon or in the reading pane, choose Reply , Reply All , or Forward. In the To , Cc , or Bcc box, do one of the following:.
To remove a recipient, click in the appropriate box, choose the recipient's name, and then press Delete. For more information, see Reply to or forward an email message.
To share a file, you can attach it to your message. You can also attach other Outlook items, such as messages, contacts, or tasks. Create a new message, or choose an existing message and choose Reply , Reply All , or Forward.
For more information, see Attach a file, message, contact, or task to an email message. You can open an attachment from the reading pane or from an open message. After opening and viewing an attachment, you can save it.
If a message has more than one attachment, you can save them as a group or one at a time. Depending on the version of Outlook you're using, there might be multiple options available to open an attachment. For more information, see Open attachments. On the Attachments tab, in the Actions group, choose Save As. You can also right-click the attachment, and then choose Save As. For more information, see Save attachments.
You work with Outlook queries by using the Outlook Queries task pane. To see this pane, do one of the following:. In the Outlook Queries task pane, drag query names up or down to reorder the list. In the Outlook Queries task pane, click , or right-click on an empty space in the list of queries, and then click New Outlook Query. Enter information for these fields. MindManager automatically runs the query and displays the matching items in the Results list in the lower section of the pane so you can see if the query works as expected.
Optional If you want to create a new query from an existing query without changing the original, in the Outlook Queries task pane, right click the query and then in the shortcut menu, click Duplicate. In the Outlook Queries task pane, select the query you want to edit, and click Edit Outlook Query, or right-click the query you want to edit, and then click Edit Outlook Query.
Modify the information in these fields. You can also edit queries that you have already added to your map. Deleting a query does not affect queries you have already added to your map. To delete a query on the map, select it and then press DEL. If you accidentally delete one of the default queries. When you send a topic to Outlook, a new task or appointment is created in Outlook. The topic becomes a linked Outlook item topic that is synced with its corresponding Outlook item.
A new Outlook item is created and the appropriate Outlook form pops up to let you enter the necessary item data.
Click Save and Close to save the new item in Outlook. Click Cancel to cancel creating the Outlook item. Outlook and Outlook do not display the form. The new item is simply created, and the topic becomes a linked Outlook item topic. You can then edit the items in Outlook individually to adjust their properties.
The topics become linked Outlook item topics that are synced with their corresponding Outlook items. When you send items from Outlook to a map, new Outlook topics are created on the map. These topics are linked to the corresponding Outlook items. Open the target map in MindManager or, if this is a new map, save it.
Select a topic if you want the new Outlook item topics to become its subtopics. In Outlook do one of the following:. If you do not see these buttons in Outlook, see Troubleshooting Office add-ins. The Outlook items are added as Outlook topics: as subtopics below the selected topic, or as main topics if nothing is selected.
When you drag items from Outlook to a map, new Outlook topics are created on the map. In Outlook, select one or more items message, note, task, appointment, or contact and drag them into the map in Map view or Outline view. If you drag the item s onto a topic, the new Outlook topics become subtopics. If you drag the item s onto the map background, the new Outlook topics become main topics. This only changes the map query, it does not affect the original query in the Outlook queries task pane.
Click the Outlook Query topic icon, and then click Edit Query. MindManager automatically runs the modified query and displays the new results as linked Outlook item subtopics. You can add your own subtopics to the Outlook Query results topics. These will be retained on sync, unless their parent is no longer included in the query results.
When you edit an item in Outlook that is linked to a map topic, you'll see the changes on your map the next time you sync the item or its parent query topic. You can also edit Outlook items directly from the map by doing one of the following:.
You can edit linked Outlook item topics in the same way that you edit normal map topics. Microsoft Outlook was introduced to the public in and was included with Microsoft Office Outlook Express was included with Windows XP and was the only free version.

With Microsoft Outlook you can sync your personal data with your phone, tablet, and other computers, provided you can log in to those with your Microsoft Account. You can sort your email into folders based on rules you create, send Out Of Office messages automatically, flag emails for follow up, and get email from Exchange servers.
The latter means that you can get work email as well as personal email from the same Microsoft Outlook application, even when you are away from the office. You can't do that with the Mail app that comes with Windows You can also delay the sending of emails, ask for receipts, and more. It includes an address book, calendar, task list, and virtual sticky notes. What you put in the calendar can be synced to your other devices. You can delegate tasks to others. You can also share and delegate calendars.
